Team Settings

The Team settings section allows you to flexibly customize your work and distribute access rights among participants (the section is available for Team and Advanced subscriptions).

Team Settings

Team: this section displays information about active team members (the number of active team members / total number of available team members, user email, date of joining the team). The email of the main account owner is marked as master.

Invitations displays information about users who have been invited to the team, but have not confirmed their email yet (number of invited users, email, and the date the invitation was sent).

You can invite new members to the team or remove current members. You can also change access rights for profiles, templates, tags, proxies.

To invite a new member to the team, click the "Invite" button. In the pop-up window you can assign access rights to profiles and enter the email to which the invite will be sent.

If necessary, an invitation to the team that has not been accepted can be deleted by clicking on the "Trash" icon next to the corresponding email address.

Email is the field for the future team member email address. A message containing an activation link will be sent to the provided email address. After clicking on the link, another message containing a temporary password will be sent. The new team member can later change that password in the account settings. Invitations to new members can only be sent to new emails (ones that have not been used for an Octo Browser account registration before).

IMPORTANT!

If, when providing the email of a future team member, you see the notification "User already exists. The invite was not sent”, this means that the provided email address is already registered in Octo Browser. The team member's email must not have been previously registered.

To remove a team member, click on the recycle bin icon next to the email of the user you wish to remove. In the pop-up window, select "Confirm".

If "Manage team" is not enabled for a team member, the "Team" section will not show the current and maximum number of team members, and the following message will appear: "You do not have permission to view information about team members."

Profiles access

Folders are assigned to each team member individually in the team member's settings or via the access dialog in the folder's settings.

  • A team member can only view profiles from the folders to which they have been granted access.
  • Access can be granted to profiles that are not placed in any of the folders.
  • Without access to at least one folder or to profiles not in folders, a team member will not be able to see any profiles.
  • Each profile belongs to one folder only.
  • Tags appear with their associated profiles but do not affect access permissions. They serve as labels for filtering and tagging the profiles inside folders.

The "Access to all profiles" setting enables access to all profiles, both within and outside of folders, as well as to the folders themselves.

Change permission

To allow a team member to view profiles not assigned to folders, add "No folder" to the access list. Team members will see profiles from all specified folders, as well as profiles not included in any folders.

If a team member is not granted access to at least one folder or to all profiles, they will not be able to create a new or quick profile.

Profiles

In this section you can allocate access rights to functions affecting profiles. By default, all possible operations with profiles are enabled. You can turn off unnecessary ones by clicking on the corresponding buttons.

Edit profiles enables the ability to edit available profiles and the data they contain.

Create profiles enables the ability to create new profiles for a team member.

Delete profiles enables the ability to delete available profiles.

Transfer profiles enables the ability to transfer available profiles to another Octo Browser user.

Clone profiles enables the ability to clone (copy) available profiles.

Set profile passwords allows you to grant a team member the right to set and remove profile passwords.

Proxies

In this section you can allocate the necessary access rights for the proxy manager in your account (proxies that are saved to the list of proxies). This setting does not affect the ability of a user to add temporary proxies.

Edit proxies enables the ability to edit proxies in the Proxy Manager.

Create proxies enables the ability to create and save proxies in the Proxy Manager. If this option is disabled, a team member will not be able to add proxies to the list when creating profiles or on the proxy list page, which means that they will be able to use only temporary proxies (proxies applied to a specific profile and not saved to the proxy list).

Delete proxies enables the ability to delete a proxy in the Proxy Manager.

Create paid proxies enables the ability to create internal paid proxies.

Templates

In this section you can allocate the necessary access rights for managing templates in your account.

Edit templates enables the ability to edit profile templates.

Create templates enables the ability to create profile templates.

Delete templates enables the ability to delete profile templates.

Extensions

In this section you can assign the necessary access rights to manage extensions in the account.

Delete extensions enables the ability to completely remove extensions from the list.

Tasks

​In this section you can set the necessary access rights to manage tasks in the account.

View tasks enables reviewing available tasks.

Manage tasks enables editing available tasks.

Manage folders

Enabling this option allows the team member to create, rename, and delete folders, as well as transfer profiles across folders.

Manage tags

Enabling this option allows a team member to create, rename, and delete tags for the entire team. Tags are used to label and filter profiles and do not affect access rights.

Manage team

This is the key option. It should only be enabled for trusted team members. Enabling this allows a user you to fully manage the team and the access rights of all its members, and to add new team members.

Access action log

This setting allows you to grant team members access to the Action Log. This option is disabled by default.

Access rights allocation using folders

Each team member sees only their profiles

Create a separate folder for each team member and grant them access only to that folder. The team member will see only the profiles in their folder. A new profile without an assigned folder will not be visible to anyone except the account owner.

For example: Create folders named "User 1" and "User 2." Grant User 1 access to the "User 1" folder, and User 2 access to the "User 2" folder. Each of them can see only their own profiles. The owner of the main account can see all folders.

Groups within the team can see shared profiles

Create folders accessible to groups and grant access to a single folder to multiple team members. All group members will see the same profiles.

For example: Create folders named "Group 1" and "Group 2." Grant access to the "Group 1" folder to several participants, and they will work with the shared pool of profiles. Members of "Group 2" can see only their own folder.

Sequential teamwork with profiles

Create dedicated folders for each work stage. When one participant completes their work, their profile is moved to the next folder to the team member responsible for the next step.

For example: Create folders "Farming," "Preparation," and "Buyer," and enable "Allow members without access rights to move profiles to this folder" toggle for the "Preparation" folder. The team farmer will work with profiles in the "Farming" folder. Once their task is complete, they move the profile to the “Preparation” folder, and the profile becomes visible to the next team member.

To allow a team member to move profiles to a folder they do not have access to, enable the setting “Allow members without access rights to move profiles to this folder” for that folder. Team members will see the folder name in the folder list when moving the profile, but will not have access to its contents.
